Dear (Mr./Ms./Dr.) Recipient's last name:
(1 space)
Opening paragraph: Tell why you are writing, giving specific information about the position(s) that interest you and how you learned about the company/job. Ideally, you would include a statement that indicates how your interests match the industry, the company's products, or the job itself. ("I have a very strong interest in the construction industry.")
(1 space)
Body of the letter: Succinctly describe why you are qualified for the specific position. Include concrete skills, whether obtained through campus activities, paid or volunteer work experience, classes or labs. Tell about specific interests or familiarity you might have in the company, its products, the industry, the job itself, or the location. (It's not necessary to cover all of these issues, but specific reference to one or more will show that you have done your homework and encourage the employer to read on.) This can be broken into two paragraphs. If so, typically one paragraph describes academic accomplishments and sterling qualities developed through campus activities or demonstrated in past jobs; the other paragraph varies from letter to letter and emphasizes interests, skills, and experiences specific to the particular opportunity.
(1 space)
Closing Paragraph: Mention enclosed resume and any other attachments. State the action you would like from the recipient ("I would appreciate a few minutes of your time to discuss my qualifications and the opportunities available at _____ company.") Specify at least two or three hours per week during normal business hours when you can be reached or state that you are seldom home during normal business hours but have an answering machine and will promptly return any calls.

PO Box 4567

Dear Ms. Drew:

I am writing to let you know how much I appreciated the opportunity to interview with you during your recruiting visit to Ohio State on January 16. Although I had reviewed the information ERU has on file in the engineering career library, the detail you were able to provide about the progression of responsibilities with each co-op term was new to me; I am extremely interested in the opportunity you described.

You stated during the interview that technical ability, interpersonal communication skills and the ability to make good decisions are the most important criteria in the selection of future employees. I feel confident that my chemical engineering studies have provided the technical foundation which will enable me to make a useful contribution to ERU. Since our interview I have learned that my current GPA places me in the top 25% of my class. As we discussed, my experiences as an officer and active committee member in a variety of campus organizations have provided several opportunities to test my leadership, time management, decision-making, and communication skills.

I hope to hear from you soon regarding a second interview. I believe that this opportunity is an excellent match with my current skills and career goals.

Sincerely,

Hiram E. Soon

Dear Ms. Drew:

I want to thank you and Mr. Nickerson for giving me the opportunity to work for Energy Resources, Inc. I am very pleased to accept the Winter/Summer mechanical engineering co-op position at your Nome, Alaska research facility, with a salary of $1900/month. The position requires exactly the kind of work I want to do. I am eager to learn and contribute to your engineering efforts.

I understand that this offer is contingent upon my passing a routine physical examination, including a drug test. I anticipate no difficulty in doing so and will proceed with the necessary arrangements as soon as I receive the packet of information being sent to me. I am looking forward to reviewing the information on area apartments which you are sending and appreciate your providing me with the names and phone numbers of other ERU co-ops.

As we discussed, I am looking forward to starting work on January 10, 1994. If there is any additional information you require prior to my start date, please give me a call. I am very excited about joining ERU and about the opportunity to work on your team.

SAMPLE LETTER DECLINING OFFER

Ms. Nancy Drew

Dear Ms. Drew:

Thank you for the time and attention that you and your company have devoted to considering me for a chemical engineering co-op position with ERU. It was a pleasant surprise to learn of your decision to offer me the position.

After careful deliberation, however, I must respectfully decline this opportunity to join ERU. Your offer was competitive and the projected work assignments were very attractive. However, I have decided that another opportunity is a better match for my current qualifications and career interests. I want you to know, however, that it was a very difficult choice.

I have been very impressed with the recruitment process at ERU and have shared my positive experiences with other students and the co-op office staff. I hope that we will have the occasion to talk again in the future. Thank you for all of the personal time you devoted to considering me.

Sincerely,

Anita B. Hired
